Title: P9 Approve Negotiated Agreement with Tririga, LLC

Recommendation:
I recommend approval of the Negotiated Agreement for Computer-Aided Facillities management System (CAFM), Software and authorize the Superintendent and Board Chairman to sign all necessary documents.

Description:

P9 Approve Negotiated Agreement for for CAFM Software

  • Invitation to Negotiate 05C-012N was solicited.  Seven vendors responded.
  • The Evaluation Committee reviewed all responsive information packages, participated in demonstrations, conducted site visits with other clients, and and selected Tririga LLC after a rigorous evaluation process.
  • Negotiations were held and resulted in the attached recommended Software License Agreement.
  • This agreement is for an unlimited number of site licenses for the first 6 years at the discounted price of $676,500.  Platinum Level Maintenance for support will cost $108,240 annually. 
  • This software will be used by the Division of Facilities Management and other departments working on capital projects as an integrated solution for computerized maintenance management; design and construction project collaboration, facilities management, meeting room reservations, facility condition assessments, space utilization, space inventory management, site acquisition analysis, leasing, as well as several other functions.
  • This system will replace the MAXIMO work order system and will allow schools to enter and check on work order requests using the Internet.
  • This system will also allow better cost and schedule control of construction projects and provide the Board, oversight committees and the public with more timely and accurate information.
  • The consulting services required for the implementation of this system is being acquired under a separate contract.  
  • The software will be interfaced into PeopleSoft.

Financial Impact:
The financial impact is $784,740 the first year and $108,240 each year thereafter for Maintenance.  The source of funds is the Capital Budget.
