Title: Award of Purchase and Professional Services Agreements

Recommendation:

I recommend that the School Board approve the Award of Purchase and Professional Services Agreements with Syclo, Inc.  The cost of both the software purchase and professional services agreements is $196,713.

·        This Purchase Agreement is for software licenses providing middleware to be used on handheld devices deployed with maintenance technicians.  This automation will improve the servicing of District schools and other facilities.  The District also receives software templates that speed the work of configuring our handheld devices.

·        In the Professional Services Agreement, Syclo professionals will guide design of the software for our maintenance business plan.  Syclo will also mentor District personnel as they develop and test the product.

·        Negotiations resulted in the attached Purchase and Professional Services Agreements to purchase Syclo software and use company professionals to guide District personnel in adapting the software to the Tririga 9 CAFM System.

·        The agreement with Syclo will complete the specified work by 3QFY08 the same time as the rollout of the Operations and Maintenance module of the Tririga 9 CAFM system.

·        At this time the mobile instrument type has not been selected as several will be tested with the Syclo software in a pilot test this summer and fall in the District’s operational environment.

·        The price of the Syclo software is locked into a specified schedule until December 31, 2009.  At least 200 units will be purchased occurring as handheld devices are acquired.

Financial Impact:

The financial impact to the Capital Budget is estimated to be $196,713.  This cost is calculated for anticipated software needs through May 3, 2012.  We will return to the Board in the fall 2007 to present the cost of purchasing the desired mobile instruments to be used by M&PO field technicians.  The CAFM System implementation is funded by the Capital Budget of the Facilities Management Division.
