Title: P2 Purchase Services for Gaylord Hood Systems

Recommendation:

I recommend approval of the purchase of parts and repair services for Gaylord Hood Systems in the not-to-exceed amount of $50,000.                       

Description:

Approve the purchase of parts and repair services for Gaylord Hood Systems in the not-to-exceed amount of $50,000. 

 

·      Gaylord Hood Systems have been installed in many school cafeteria kitchens throughout the District.  Maintenance, repairs and parts for this type of equipment are proprietary and only an authorized Gaylord agency may be contracted to provide service.  Approximately 75% of the hoods in the District are Gaylord.

 

·      Gaylord Industries, Inc. is the manufacturer of the hood systems.  Airways Cleaning and Fireproofing, Inc. is the only factory-authorized service agent in south Florida that provides service to the Gaylord Hoods.  Although there is another authorized service agency, EBN of Pompano, they will not repair hoods that they do not have under contract for cleaning.   Airways Cleaning and Fire Proofing, Inc. has the District hood cleaning contract. 

 

·      The District has negotiated an hourly rate of $85 per hour for service, which falls below the customary charges of $95 - $110 for certified technicians.  Certified technicians are trained to insure that cafeteria hoods are in compliance with state and local fire safety codes.  Technicians who are trained in this specialized field are certified to repair hoods, connect fire alarm and fire suppression controls, repair micro processor control boards and assure safe mechanical operations for hood repairs.  Parts are supplied at a 10% discount off list price.

 

·      Over the past three years, the District has spent approximately $28,000 for repairs and parts for Gaylord hood.

Financial Impact:
The financial impact to the Special Revenue Budget is estimated at $50,000.  The source of funds is the School Food Service Department budget.
