Title: P10 Contract for ManageSoft Client Management Suite

Recommendation:

I recommend that the School Board approve the negotiated contract with IBM for the ManageSoft Client Management Suite for software and services in the not-to-exceed amount of $1,327,597.

Description:

Approve negotiated contract for the ManageSoft Client Management Suite with International Business Systems (IBM) Global Services for software and services.

 

·      The ManageSoft Client Management Suite software will allow IT remote and automatic update capacity for the District’s Personal Computers (PCs).

 

·      The Software will allow the machines to be self-patching devises that automatically ensure security compliance.  The District's infrastructure will be better protected by this enhancement.

 

·      The Software has a management component to gather information on devices and software at a district level.  This is an audit point which has been open since April 22, 2003, Auditing of Software Inventory.

 

·      Since the software enables many tasks to be done automatically and remotely, travel time for technicians will be greatly reduced saving time and money while offering better service to our schools and departments.

 

·      The impact of virus attacks will be greatly reduced by allowing IT remote and automatic update capacity for the District’s PCs.  Virus attacks have caused disruption of both instructional and business functions, lost productivity and excessive man-hours in the recovery process.

 

·      The system is thin client-centric (at the PC) with minimal impact on the network.  This policy-based management system will produce for ongoing savings.  Smart agents on desktops and laptops will transform into self-managing devices that automatically adapt and self heal in accordance with centrally defined policies.

 

·      This Software Suite was selected from four packages examined by IT, all of which are highly rated by Gartner research.

 

·      IBM is an authorized reseller of ManageSoft Management Software and has assisted two other large School Districts in the initial design and configuration activities.

 

·      This agreement includes the purchase of licenses for up to 55,000 devices including 1000 file servers of a suite of software from Managesoft ($827,500) and three years of maintenance ($248,250).

 

·      Roll out of this product is anticipated to be complete by December of 2006.

 

·      Certain functionality in PeopleSoft will require workstations software installs.  Developers and anyone who develops Excel based nVision reports will need a local client installed.

 

·      Installs will be managed on workstations whenever PeopleTools patches or upgrades are required.

 

Financial Impact:
The additional financial impact to the District Capital Budget is estimated at $1,327,597.   The source of funds is the Information Technology Capital Budget within Network Services & Infrastructure project #8253.  Carryover funds will be used with a combination of new dollars.
