Title: P5 License Agreement with Cayen Systems, LLC

Recommendation:

I recommend approval of the purchase of a license agreement with Cayen Systems, LLC and authorize the Superintendent and Board Chairman to sign all necessary documents.

Description:

Approve the purchase of a one-year license agreement with Cayen Systems, LLC to manage the district’s NCLB Supplemental Educational Services (SES) program, in the not-to-exceed amount of $55,400.

 

·      Cayen Systems, LLC has the exclusive license right to sublicense Supplemental Services Tracker SST software.

 

·      The Florida Department of Education is using this program to do program reviews.  The hosting the SST web application and database will be done on a Cayen WWW server connection to the Internet.

 

·      License agreement includes one system license, forty-five (45) school licenses, two days of on-site training for district administrators and NCLB/SES providers, fifteen hours of phone/email support for district staff, five hours of programming time for custom reports, two hours per NCLB/SES provider of phone/email support and up to five hours for student record data importation.

 

·      The forty-five (45) schools that must offer NCLB/SES to students are: Barton Elementary, Bear Lakes Middle, Belle Glade Elementary, Berkshire Elementary, Carver Middle, Congress Middle, Conniston Middle,  Everglades Preparatory Academy, Forest Park Elementary, Galaxy Elementary, Glades Academy, Glades Central High, H. L. Watkins Middle, Heritage Elementary, Highland Elementary, Indian Pines Elementary, J. F. K. Middle, Palm Springs Community Middle, Joseph Littles-Nguzo Saba, KEC/Canal Point, Lake Park Elementary, Lake Shore Middle, Lake Worth Middle, Lakeside Academy, Lantana Elementary, Lantana Middle, Lincoln Elementary, North Grade Elementary, Odyssey Middle, Orchard View Elementary, Pahokee Elementary, Pahokee Middle/Senior High, Pine Grove Elementary, Pioneer Park Elementary, Plumosa Elementary,  Rolling Green Elementary, Roosevelt Elementary, Roosevelt Middle, Rosenwald Elementary, South Grade Elementary, The IMAGINE School, Toussaint L’Ouverture, Village Academy, West Riviera Elementary, and Westward Elementary.

 

·      Cayen’s SST program is supported by the Florida Department of Education, Palm Beach County School District’s NCLB/Federal Grants Department, SES Department, the Educational Technology Department, and Information Technology Department.

Financial Impact:
The financial impact to the Special Revenue Budget is estimated at $55,400 for Title I program.  The source of funds is the Title I Part A Grant.
