                              deleted remotely from the device in a manner consistent with public records retention
                              requirements. The supervisor needs to complete the Plant Security report (PBSD 0766),
                              located at: http://www.palmbeachschools.org/Forms/Documents/0766.pdf) and submit
                              the report to School Police. The school/department using the cellular device is
                              responsible for all charges up to the time the loss is reported to the cellular carrier. If a
                              replacement cellular device is required, District Cellular Device Request Form PBSD 2317
                              will be used and the purchase price will be charged to that school/department.
                              Employees must exercise due care to prevent loss or theft of the cellular device. If it is
                              determined that a District cellular device is lost, stolen or damaged through carelessness,
                              the supervisor may exercise reasonable discretion, considering the circumstances, in
                              deciding whether to provide a replacement or, through District procedures, request
                              reimbursement to the District from the employee.

                              iv.    Cellular plan features that incur additional cost, such as roaming, anytime
                              minutes, nights and weekends, messaging and directory assistance must be used
                              sparingly. These features must be approved and justified by the supervisor as in the best
                              interests of the District.

                              v.     Forwarding a District land line phone to a District cell phone should be avoided
                              and only occur when the employee is away from his/her office and cannot answer
                              his/her land line phone in person or for other approved and necessary support reasons.

                              vi.    Forwarding a District cell phone to another device should be reviewed closely
                              and approved by the employee’s supervisor before such transfer occurs.

                      f.   Monitoring Bills: An electronic process has been established to alert the supervisor of
                           charges in excess of standard monthly billing for District cellular service.

                      g.  Subject to any prohibitions within this Policy or federal or state law or local ordinances, as
                           applicable, the following shall apply to employees using cellular devices or data devices (i.e.
                           laptops, smart phones, etc.) while driving a vehicle:

                              i.     Texting, instant messaging, and composing or reading written messages or
                              emails are prohibited while on District business.

                              ii.    Employees issued a District cellular device shall not use the device for any
                              purpose while driving any vehicle, unless using the device hands-free.

                              iii.   Employees are not authorized while driving a vehicle to use any cellular devices,
                              including cellular phones, to conduct District business, unless using the device hands-
                              free.
