Over the next five years, the IWMS team will partner with the Operations Division to
implement important additional modules including Capital Projects, Workplace Performance
Management (WPM), Facility Condition Assessment, and Contact Center Knowledge Base as
well as to replace legacy applications. Periodic application and platform upgrades will be
performed as required to adhere to vendor, District and regulatory compliance.
eForms
The District’s business processes include extensive use of an enterprise eForms
solution. All 20,000+ District employees use the eForms platform to complete and submit
their Requests for Leave, travel reimbursement requests, and other common forms. All
Individual Education Plans (IEPs) are completed, submitted and stored online using eForms
and the document management system. In fact, Palm Beach County is the only known
Florida school District to build and deliver an automated IEP with zero cost outlay and no
outside professional services. In all, over 300 District forms are available as electronic
forms.
During the life of this plan, the eForms system will be upgraded and enhanced to provide
employees with user-friendly, streamlined access to their electronic forms as well as forms-
related business processes. In addition, the Leave Request process will be fully migrated
into an ERP process. Lastly, IT, in conjunction with the District Forms Review Committee, will
continually look for paper-based forms processes that can be developed and delivered as an
online eForms process.
BoardDocs
The IT Division supports and maintains BoardDocs, the School Board’s paperless agenda
system. The primary uses and features of BoardDocs include:
Paperless School Board agenda
Board Policy publication, retrieval and repository
Online agenda item approval
Automated meeting minutes generation and release
Advanced search across all agendas and policies
Custom Developed Applications
The IT Division offers custom application development services to schools and departments.
Several custom-developed software applications are used on a daily basis to meet various
academic and business requirements.
