FINGERPRINTING SERVICES
     OUTSOURCED










     Human Resources and School Police collaborated to request project
     management assistance in the evaluation, selection, and implementation
     of a solution to outsource the collection of fingerprints and photos for new
     applicants to a third-party. School Police decided early on to retain the
     fingerprinting duties for their department. Mike Callahan initially assembled
     and assisted the team through the evaluation and selection process. Mike
     then moved to a project advisory role as Senior PM Al Yonick handled the
     implementation phase, with HR Manager Kevin Butanowicz acting as the lead
     for the HR team.















     The overall project included many stakeholders beyond Human Resources
     and School Police, including Professional Standards, School AfterCare, and
     Purchasing among others. The key goal of the project was to improve the
     overall onboarding process by removing the need for every applicant to come
     to FHESC to be fingerprinted for required background checks. The vendor
     selected was FieldPrint, which has partners all over the country, including 5
     locations in Palm Beach County. The new process allows applicants to select
     the most convenient location to get their fingerprints collected and submitted
     along with a photo for their Employee ID badge. This also reduces traffic in
     FHESC and reduces wait times for applicants.

     The ERP, School Police Technical, and Design & Development teams were
     crucial to the success of the project, providing analysis, development,
     and testing of the integrations to PeopleSoft and supporting School Police
     systems. The entire team participated in end-to-end testing to ensure that the
     process was working as designed.

     The project went live on June 14th, 2022 with a soft roll-out to selected
     applicants to identify and resolve any issues prior to opening the process
     up for all applicants. The platform was gradually released to more applicant
     groups and was released to all applicants on July 20th, 2022.

     Hundreds of applicants have already been processed through FieldPrint and
     the process is going well overall. Al, Kevin, and the entire project team are to
     be commended for their hard work in getting this very complex solution up
     and going in a very small amount of time! This solution should improve the
     overall experience for applicants and streamline the onboarding process by
     allowing key HR and School Police staff to concentrate their efforts on the rest
     of the process.
