UNIVERSAL STUDENT ID
The IT PMO is facilitating a District team to implement the standardization of
student IDs across all schools. The process, until now, has been left up to
the discretion of individual schools. The project team, sponsored by the
Chief Operating Officer, Joe Sanches, seeks to provide a uniform look and
feel across the District that still allows schools some individual branding.
The team includes a principal focus group, School Food Service, School
Police, Transportation, Media Services, Safe Schools, FTE, and ESE
among others.
The project team has focused on incorporating feedback, recommendations,
and best practices from schools, District departments, and other school
districts of our size. The goal is to not reinvent the wheel, but rather to find a
collaborative solution that meets the needs of all stakeholders.
We arrived at a solution that will print student badges with their student ID
number as a barcode from Focus/SIS. This eliminates the data integrations
currently needed for third-party systems, provides a similar look-and-feel
across the District, and incorporates several enhancements requested by
schools. The primary use cases for the Universal Student ID are:
• Campus Safety and Security
• Bus Ridership
• FTE Surveys
• School Payment, Tracking and Reporting
• Media Center Materials Tracking
Other use cases down the road could include Emergency Reunification/
Roster Accountability, Parent Pick-Up, AfterCare, and Field Trips
among others.
The feedback from schools, leadership, and stakeholders has been extremely
positive and we’re excited at the potential this project has to make our schools
safer and more efficient, as well as provide the data to make our reporting and
compliance more accurate and complete.
Allison Monbleau, School Food Service Director, has also been working with
Legal to develop a District Badge Policy for Students that should be approved
in September. This will detail the responsibilities, requirements, costs, and
disciplinary actions for badges.
While waiting for budget approval, the team has been working on pilot
initiatives, including testing printers, SIS user configurations/enhancements
for badge printing, bus ridership options, and job aides for users. Currently,
funding for this initiative is wrapping up and we expect to move quickly to
finalize the Statement of Work, form a selection committee, select a vendor,
and begin implementation this fall. Stay tuned for more information and details
