Another trend over the last few years is to use an eForm as a transmittal document to attach
other documents and import the entire package into the District’s document management
system, ImageQuest. Examples include Accident/Incident Investigations, Student Visitor
Accident Reports, monthly Drop Safe Logs, and P-Card Statements and Receipts. This is
another trend that will likely continue.

During the life of this Plan, the eForms system will be upgraded and enhanced to provide
employees with user-friendly, streamlined access to electronic forms as well as forms-related
business processes. Where possible, the build of new and revised eForms and associated
processes will provide eForm owners with data analysis tools such as SQL database tables and
SQL Server Reporting Services (SSRS) reports. Lastly, IT, in conjunction with the District Forms
Review Committee, will continually look for paper-based forms processes that can be developed
and delivered as an online eForms process.

               Contract Lifecycle Management
During the life of this Plan, the District plans to implement a new SaaS-based contract lifecycle
management solution that will provide the following functionality:

                   ● Track the entire contract process from initiation through ultimate storage
                   ● Create/initiate a contract or upload a vendor’s submitted contract
                   ● Allow for contract writing collaboration between multiple authors
                   ● Route a contract through multiple revisions and approvals
                   ● Allow for electronic signatures
                   ● Migrate a final, approved contract to the District’s on-prem document management
system for long-term storage and retrieval
